A complete sales process for OneEleven, built and running in eight weeks.

Nothing stalls when you get busy. Follow ups fire on their own, in your name. A list that refills itself from signals, so there is always runway ahead.

Dani,

Thanks for the call last Tuesday. Here is a first draft of how I would run sales at OneEleven. Read it, tell me what to add, cut or change, and I send the next version. A short call to go through it works too.

One note. I thought the call was being recorded and it was not, so this is built from your job post and what I remember. Anything I have missed, tell me.

The problem.

Five things from your post and the call, in plain words.

Problem 01
The pipeline stalls when you are busy
You run the calls and you own sales. When the week fills up, the threads between the calls wait, and a thread that waits a week usually does not come back.
Problem 02
Next steps live in your head
Where each conversation left off, who owes who a reply, what you promised. That works until there are more threads than one person can hold.
Problem 03
The list runs out
When it does, a fresh one gets built from scratch, slowly, with no reason behind each name. A message with no reason behind it reads like one.
Problem 04
Quiet threads go cold
People who already know you stop replying and nobody notices, because nothing happened. These are the cheapest meetings you will ever book and they are lost.
Problem 05
Sometimes you are the bottleneck
A warm reply that waits two days is a cold one. The person running the system has to be allowed to nudge you, and needs a list to nudge with.

The fix.

Five fixes, in the same order as the five problems.

Solution 01
One home for everything
Close CRM holds every account and every person you have today, with a stage, a next step and a date. The pipeline stops living in your inbox.
Solution 02
Follow ups that fire on their own
No reply in three days, call held with no next step, proposal out and quiet: each one triggers the next email from Close CRM in your name, on a schedule you have approved. Nothing is forgotten because nothing depends on remembering.
Solution 03
A list that refills from signals
Companies that fit, found in Clay from things that say why now: a Glassdoor review about pay or stress, hiring growth, headcount growth, a post about employee financial wellness, followers of your page. Who and why on every row.
Solution 04
A quiet thread rule
Ten business days of silence flags the thread and starts a re engage sequence. Close CRM fires it on the date.
Solution 05
Automated workflows and reminders
A warm reply waiting on you pings your Slack and your inbox. What you owe people sits in its own view, oldest first. Every call gets a prep note the night before. The workflows run in Close CRM and Make, so none of it depends on anyone remembering. If I did not think I could do an outstanding job here, I would not have put this together.

How it runs.

I have put your whole sales process together on one board, top to bottom: the signs a company needs you, the list, the messages in your name, replies landing in Close CRM, the follow ups, your calls. Green boxes are yours. Everything else is set up by me or runs on its own.

This window shows the top of the board, and you can scroll inside it. Open the whole board to see every step, move boxes and leave comments. Open the whole board

What you get.

The three run side by side. The weeks are an estimate, and we can change any of this once we get started.

Direction 1The home. Close CRM, set up for you.Weeks 1 to 3
The Close CRM setup
Set up for a founder led process.
  • Nine stages: We owe them, Waiting on them, Call booked, Call held, Proposal sent, Won, Not interested, Bad fit, Went quiet
  • Six fields on every record: Source, Signal, Fit (A, B or C), Owner, Owed, Owed since
  • Six saved views, oldest thread always at the top: We owe them, Waiting on them, Replied but no call yet, Call held with no next step, Proposal out and gone quiet, Nurture due
Done whenYou have approved the stages and opened each view on your own pipeline.
Automated follow up workflows inside Close CRM
Three to start. Each one stops the moment they reply or book. Every email is in your voice and approved by you first.
  • Waiting on them: no reply in three days sends the next email, then again at day seven and day fourteen
  • Proposal sent: a check in at day two, day five and day nine
  • Quiet thread: ten business days of silence starts a re engage sequence
Done whenEach workflow has fired on a test lead and you have seen the emails.
Reminders into your Slack and your inbox, through Make
Through Make, so nothing depends on anyone remembering.
  • A warm reply waiting on you
  • A thread quiet for ten business days
  • A task overdue by two days
  • A morning list of what you owe people
Done whenEach one has fired once on a test and landed in your Slack.
Direction 2Existing accounts and prospects.Weeks 2 to 4
Everything you have today, in Close CRM
I do not know what your data looks like yet, and that is fine. Whatever form it is in, it goes in, and the process is built from there.
  • Every current account, prospect and customer
  • Company, person, email, LinkedIn URL
  • Stage, last touch, next step and next step date
Done whenEvery open thread you have today is in Close CRM with a next step and a date.
Every open thread on the right stage
  • What you owe them, or what they owe you, on the card
  • The right follow up workflow running on it
  • Quiet ones get the re engage sequence
Done whenEvery card in We owe them has a dated task.
Call booking and prep
Calls booked from the pipeline. A one page prep note the night before, built from the Close CRM card through Make and sent to your inbox.
  • Who they are and why they are on the list
  • What they have said so far
  • Three questions to ask
Done whenEvery call that week had its note the day before.
Direction 3Net new accounts and prospects.Weeks 3 to 8
The exact ICP
One page.
  • Company size, industries, locations, who signs
  • The signals that say why now: Glassdoor reviews about pay or stress, hiring growth, headcount growth, LinkedIn posts about employee financial wellness, followers of your company page
Done whenYou have said yes to the page.
The account list, built in Clay
  • Three hundred (300) companies to start
  • A column per signal with its date, a one line why now, Fit A, B or C on every row
  • Lookalikes of your best customers added each month, so the list never runs out
Done whenThe list is in Close CRM and you have marked the first fifty (50) go or no.
The right people, found in Clay
Two per account.
  • The person who signs
  • The person who runs people or HR
  • Verified email and LinkedIn URL on each
Done whenEvery A account has two people and the first send bounces under three (3) percent.
Outbound email, in Instantly
  • Domains and inboxes in your name, warmed
  • Sequences in your voice, drafted with an AI writing system trained on your own emails and messages, checked by me
  • One sequence per signal group, personalised from Clay so each email opens with the reason that company is on the list
  • Approved by you before anything sends
Done whenThe domains pass the deliverability check and the first batch has sent.
Outbound LinkedIn, in HeyReach
From your profile.
  • Connection note, message on accept, follow ups
  • Daily caps that keep your profile safe
Done whenThe first campaign is live and the first ten (10) connections are in Close CRM.
Every positive reply into Close CRM
A reply on either channel:
  • Makes the card in Close CRM
  • Stops the other channel for that person
  • Pings your Slack
  • Hands over to the follow up workflows
Done whenA test reply on each channel shows in Close CRM inside fifteen (15) minutes.

A few things you asked about.

Short answers. Anything I have missed, add it to your notes for me.

01
The tools, in your name
Close CRM for the pipeline and follow ups. Clay for the list, the people and the signals. Instantly for email, HeyReach for LinkedIn. A data provider for emails and numbers. Make for the Slack and inbox reminders. If we decide to work together, you sign up from the links I send, so everything stays yours. I send the full list with the offer.
02
The paid trial task
Your post says one short paid trial before we commit, and I said yes. Let me know what you have in mind. If it helps, two shapes that would show you the real thing: a ten (10) hour block on whichever part of this page you pick, or the net new piece on its own, twenty five (25) companies with signals and two people each plus one (1) email in your voice.
What you provide

So the dates hold, you provide the following.

The tools, in your name, from the links I send: Close CRM, Clay, Instantly, HeyReach, a data provider, Make, two (2) domains

Five (5) emails and five (5) LinkedIn messages you have sent, as writing samples

Your current pipeline in whatever form it is in

Your ten (10) best customers and one line on why each bought

A ten (10) minute session to connect your LinkedIn

A Slack channel once the contract is live

A reply on anything sent for approval inside two (2) business days. If any of this lands late, the dates move with it

The timeline.

This is an estimate, to give you an idea. Once we have agreed what is in, I send an updated timeline. Six weeks to build, eight to make sure it is running properly, because there will be feedback and changes along the way. The three directions run side by side. Three things that can slow it down: your samples and approvals, the ten minute LinkedIn session I cannot do without you, and domain warm up, which no tool shortens.

Running itWeek 9 on

About ten (10) hours a week, or fewer if you want.

Total: 8 weeks, then about 10 hours a week

Your investment.

Hourly at $52.20, the rate on my application, every hour tracked on Upwork, with payment on Upwork. A weekly hours limit sits on the contract. The limit is the cap. Any week that needs more is agreed with you before those hours are spent.

PhaseWhat it coversHoursRate
Build, weeks 1 to 8Directions 1, 2 and 320 a week$52.20 an hour, about $1,044 a week
Run, from week 9Keeping it moving10 or fewerAgreed at week 8

The run phase rate is agreed together at week 8. Fewer hours, so a lower weekly cost.

Tools are in your name and sized with you before you buy anything. Tool costs are paid by you to the vendors. Nothing passes through me.

No retainer, no minimum, end it any time.

You hire me on Upwork and everything stays on Upwork, which is how I would like to keep it.

In writing

What I promise you.

|

Not in this one, on purpose: closing deals or owning the buyer relationship, cold calling, paid ads, anything on the app side, large company Total Rewards targeting, SMS, a third outreach channel. If you want any of these later, it is quoted first.

Next steps.

This is a first draft. Nothing to sign on this page and nothing to pay here.

Step 01
Tell me what to change
Message me on Upwork with what to add, remove or change in this proposal, and any ideas you have that I might be missing. I send back the next version.
Step 02
A short call, if you want one
We get on a call and iron out the details. Half an hour is plenty.
Step 03
Or send the trial task, or get started directly
I send the Upwork offer and we start that week. Accepting the Upwork contract constitutes acceptance of this proposal. Payment is handled on Upwork throughout. I would love to work with you on this. Thanks Dani.
